AI automation
The virtual employee: repetitive work, reliably done
A virtual employee takes over recurring tasks in your company – commissioned by messenger or e-mail, executed by privately hosted AI and approved by people. Every role has clear permissions; every action stays traceable.
-
The situation: repetition ties up skilled staff
Capturing invoices, pre-sorting requests, answering standard mail: recurring tasks are necessary, but they bind time your team should spend on the actual work. And every manual transfer is a source of errors.
- Skilled staff spend a significant part of their week on routine instead of substance.
- Manual transfers between inbox, system and spreadsheet are error-prone.
- At night, on weekends and during peaks, routine work is left lying.
-
How a virtual employee works
You send the virtual employee a message – in the messenger of your choice or by e-mail. Behind it runs a privately hosted language model, in your infrastructure or in our German data centre. The agent reads the message, extracts the relevant data and acts – strictly within its defined permissions.
- Channels: WhatsApp Business, Nextcloud Talk, Matrix, Slack or e-mail – you decide where the work arrives.
- Models: privately hosted, with no detour through public AI services; your data never leaves the agreed environment.
- Identity: every agent has its own e-mail address and appears in your systems as a clearly named role.
-
Example bookkeeping: capture yes, approve no
The virtual employee for bookkeeping receives invoices – as a messenger message or an e-mail attachment. It checks the invoice, enters it into your accounting and queues it for approval. It cannot pay or approve: that stays with your staff, one click away.
- Intake: invoice as a messenger photo, a PDF in chat or an e-mail attachment.
- Processing: amounts, dates and allocation are extracted and entered as a booking proposal.
- Approval: a person reviews and approves – the agent has neither payment nor approval rights.
-
More fields of application
Wherever requests need structured follow-up, a virtual employee does the groundwork – limited to its role.
- Support: reads incoming requests, creates tickets and assigns them to the right team.
- Inbox: sorts standard mail, answers recurring questions and escalates exceptions to people.
- Documents: files incoming documents in the right folders and keeps filing structures up to date.
- Appointments: coordinates meetings, sends invitations and keeps minutes.
Roles
Our plans
Every virtual employee gets a clearly scoped role with its own permissions. You start with one role and extend when it fits.
-
Starter
One virtual employee for one task area – bookkeeping or ticket creation, for example.
- One agent, one role
- Messenger or e-mail channel
- Human approval
- Own e-mail address
-
Team
Several virtual employees for different areas, centrally managed.
- Everything in Starter
- Multiple roles and channels
- Shared mailboxes
- Workload reporting
-
Custom
Individual roles, permissions and integrations with your specialist software.
- Everything in Team
- Integration with ERP, CRM and specialist systems
- Fine-grained permissions per role
- Operation in your infrastructure possible
Operations
Privately hosted – with you or with us
The AI models never run through public services. You choose where your virtual employee works.
-
In your infrastructure
Operation on your servers or in your cloud: the models run entirely in your environment; your data stays with you at all times.
-
In our German data centre
We operate the models for you in Germany – GDPR-compliant, with no detour through foreign platforms, including maintenance and updates.
Compliance
Clear permissions, complete records
Every virtual employee works with the least privilege necessary and is supervised by people. What it does remains fully traceable – for your auditors and your customers.
-
GDPR & BDSG: TNI acts as processor, a data processing agreement is available on request – processing exclusively in the agreed environment.
-
Privately hosted models: no public AI services, no third-country transfer; operated in Germany or in your infrastructure.
-
Least privilege: each role can only do what it is meant to – bookkeeping captures but does not approve; support creates tickets but does not answer on your company's behalf.
-
Complete audit trail: every action is recorded and traceable in a revision-proof way – who initiated what, when, and who approved it.
